Project Management: Services
The following is an outline and general description of services that Cooper Square Project Management offers to property owners.
Project Analysis And Recommendations
- Listen to the owner's goals, requirements, and wishes.
- Analyze existing conditions of the proposed work site.
- Make several recommendations for courses of action.
- Determine the scope of work.
- Recommend engineers, architects, and other professionals as needed.
- Advise on timing and project phasing.
- Review the owner's financial condition and make project financing recommendations accordingly.
Bidding And Contract Negotiating Process
- Review the project specifications; plans, and drawings prepared by others.
- Recommend, research, and interview potential contractors and create a working relationship.
- Send out requests for proposals to qualified contractors.
- Accept and review submitted proposals.
- Prepare a bid analysis spreadsheet.
- Schedule and conduct interviews with the contractors under consideration.
- Discuss with contractors any alternatives in methods and/or materials, areas for savings, "value engineering".
- Assist in contract negotiations.
- Serve as the liaison between the owner and the various professionals (contractor, engineer, legal, etc.).
- Verify and review all required paperwork submissions; Risk Management (insurance certificates, permits, bonds, etc.)
Project Supervision
- Attend project meetings on site as necessary.
- Monitor progress through site inspections and contractor meetings.
- Prepare site visit reports.
- Review the work schedule, monitor adherence to the schedule, and address and resolve any deviations from the schedule.
- Review payment requisitions.
- Review change orders
- Evaluate status of subcontractors.
- Report to owners on a regular basis, fully explain and advise on any issues requiring board actions and or decisions.
- Assist in resolving any project-related conflicts.
- Verify professional sign offs, warranties, and final payments.
- Produce and submit to owners a complete and comprehensive project report, known as "The Book". Among other items, The Book will include an introduction and summary, the scope of the work, progress reports, financial report, and a chronological photographic record of the project.
Resident Relations
- Prepare and distribute any notices that need to be posted or mailed to keep residents informed and aware of what is happening in and around their homes.
- Coordinate access to common areas and individual apartments when necessary.
- Coordinate and communicate with building staff as to what is expected of them and what they can expect from us during the duration of the project.
- Receive and respond to questions or comments from residents or other members of the community.
- Minimize the inconvenience or discomfort to residents and the surrounding community.
- Establish and regularly update a project-dedicated "Hot Line" that residents can call to receive current information regarding the project. The recorded message will indicate the location and type of work scheduled over the following day or two and what residents can expect in terms of noise and dust creation.
